1. Who we are and what these terms cover
These terms and conditions apply to all bookings made with Steam Wine Bar Ltd (“Steam Wine Bar”, “we”, “us”), trading from 1 St George’s Lane, London, EC3R 8DJ. By booking a place at any of our events, or hiring the venue, you confirm that you have read, understood, and accepted these terms.
If you have any questions before you book, please contact us at events@steamwinebar.com or 020 7929 0819. We would always rather have a five minute conversation in advance than a misunderstanding on the day.
2. How to book
You can book through any event page on this website, by emailing us, or by phoning us during opening hours. A booking is only confirmed once we have received either full payment or a deposit, and you have received a confirmation email from events@steamwinebar.com.
If you have not received a confirmation email within 24 hours of booking, please contact us. The most common reason for a missing confirmation is a typo in the email address provided.
3. Pricing, deposits, and payment
Prices are shown per place on each event page. All prices include VAT at the prevailing UK rate.
Pay in full or pay a deposit
You can secure your places in one of two ways:
- Pay in full at the time of booking. Nothing else is owed before the event.
- Pay a deposit of £25 per person at the time of booking. The remaining balance becomes due 14 calendar days before the event date.
Balance due 14 days before the event
If you have paid a deposit, the balance must be settled no later than 14 calendar days before the event. We will send you a reminder email seven days before the balance is due, and again on the day it is due. Bookings with an outstanding balance after the deadline may be released without further notice.
Payment methods
We accept all major credit and debit cards through Stripe, our secure payment processor. We can also accept bank transfer for larger group bookings on request. We do not accept cheques or American Express in person.
4. Cancellations and refunds
We understand that plans change. Our cancellation policy aims to be fair to both you and to us, given that we plan staffing, catering, and speaker fees in advance.
| When you cancel | What happens |
|---|---|
| More than 14 days before the event | Full refund of any amount you have paid, minus a non-refundable £25 per person deposit which we use to cover administration and lost availability. |
| 14 days or fewer before the event | No refund is available. Both deposits and any balance already paid become non-refundable. We may at our discretion offer a credit toward a future event of equivalent value, but this is not guaranteed. |
| On the day of the event, or no-show | No refund and no credit. |
If you wish to cancel, please email events@steamwinebar.com as early as possible. Your cancellation takes effect on the date we receive your email, not the date you sent it.
Reducing party size
If you reduce the size of your party more than 14 days before the event, we will refund you for the dropped places minus the £25 per person deposit. Reductions made within 14 days of the event are non-refundable.
If we have to cancel
In the rare event that Steam Wine Bar has to cancel an event for any reason, we will notify you as soon as possible and offer either a full refund of all amounts paid, or a transfer to a future event of equivalent value, at your choice.
5. Force majeure
Neither party is liable for failure to perform their obligations under these terms where the failure is caused by circumstances beyond reasonable control, including extreme weather, fire, public health emergencies, government restrictions, industrial action, supply chain failure, or the unavailability of a guest speaker due to illness or accident. In such circumstances we will work with you in good faith to reschedule, transfer, or refund, and any non-refundability clauses in section 4 do not apply.
6. Behaviour and dress
Steam Wine Bar is a venue intended for adult guests in a relaxed, civilised setting. We reserve the right to refuse entry, or to ask any guest to leave, if their behaviour is judged by our staff to be threatening, abusive, persistently disruptive, or unsafe to other guests or the team. Refunds are not provided in these circumstances.
The dress code for most events is smart, with a few evenings being smart casual. The specific code is shown on each event page.
7. Age policy
Steam Wine Bar is a licensed premises. All ticketed events are intended for guests aged 18 and over, and our staff may ask for proof of age in line with the Challenge 25 policy. We accept passport, photo driving licence, or PASS-accredited ID.
8. Allergens and dietary requirements
Please tell us about any allergens or dietary requirements at the time of booking, or at the latest seven days before the event. We will do everything we reasonably can to accommodate, including substitution where possible, but we operate a kitchen that handles all the major allergens and we cannot guarantee a fully allergen-free environment. Guests with severe allergies should always speak to a member of the team on arrival.
9. Photography and recording
We occasionally photograph events for marketing purposes, including for our website, newsletter, and social media. If you do not wish to appear in any photograph, please let a member of staff know on arrival and we will respect that. Guests are welcome to take their own photographs but should be considerate of other guests and of any speaker.
10. Liability
Steam Wine Bar accepts liability for death or personal injury caused by our negligence, and for any other liability that cannot be limited under English law. Subject to that, our total liability to you for any single event booking is limited to the total amount you paid us for that booking.
We are not responsible for personal property left at the venue. Coats and bags are left at the owner’s risk.
11. Changes to these terms
We may update these terms from time to time. The version that applies to your booking is the version published on this page on the date you made your booking. Significant changes will be notified to active customers by email.
12. Governing law
These terms and any dispute arising under them are governed by the laws of England and Wales, and subject to the exclusive jurisdiction of the English courts.
